Administrative Assistant – Litigation Department

Mackenzie Hughes LLP, one of the leaders in the Upstate New York legal community since 1884 has an opening for an administrative assistant in our litigation department.

Responsibilities:

Provide high quality administrative support including correspondence, maintain calendars in Outlook for attorneys including scheduling meetings/appointments, process incoming mail, dictation, document submissions to agencies or other parties.

Phone coverage for multiple attorneys and communicate phone messages in a professional manner.

Maintain complete and orderly files in a manner that expedites retrieval; understand and ensure that record and privacy requirements are followed.

General office duties – copy, mail, and scan documents; prepare and send letters, faxes and emails.

Enter attorney time into billing system.

Provide back-up support for reception and other administrative assistants.

Qualifications:

We are looking for a professional candidate with three to five years legal administrative assistant experience.

E-filing knowledge in preparation to file all types of discovery requests, responses to opposing counsel, and motions.

Knowledge of New York State and Federal court filing procedures including e-filing preferred.

Proficient in Microsoft Outlook and Word.
