Mackenzie Hughes LLP, one of the leaders in the Upstate New York legal community since 1884 has an opening for an experienced Litigation Secretary.
Primary duties include tracking progress of medical records and discovery, preparing discovery demands and subpoenas, assisting with preparing for cases for trial, tracking scheduling orders and case deadlines.
E-filing knowledge in preparation to file all types of discovery requests, responses to opposing counsel, and motions.
Provide high quality administrative support including preparing correspondence, maintain calendars in Outlook for attorneys, including scheduling meetings/appointments, process incoming mail, dictation, document submissions to agencies or other parties.
Phone coverage for multiple attorneys and communicate phone messages in a professional manner.
Maintain complete and orderly files in a manner that expedites retrieval; understand and ensure record and privacy requirements are followed.
Enter attorney time into billing system.
General office duties – copy, mail, and scan documents; prepare and send faxes and emails.
We are looking for a professional candidate with seven to ten years litigation secretary experience.
Knowledge of New York State and Federal court filing procedures including e-filing preferred.
Excellent written/verbal communications skills, strong interpersonal skills, and the ability to work independently and as part of a team are a must.
Proficient in Microsoft Outlook and Word.
